How we handle your information

Always-On Advisor is operated by Short Circuit Media. This policy explains how we handle information when you create an account, build an Advisor, use a published Advisor or contact us for help.

Information we collect

We process your name, email address, sign-in identifiers and account settings; Advisor profiles, photos or logos, instructions and links; uploaded documents, imported webpage content and recordings; and the questions and other content submitted during Advisor conversations. Voice features also process audio, voice samples and transcripts.

We keep subscription and payment references, plan and minute balances, conversation duration and service activity. Technical logs can include request times, IP addresses, browser information, requested pages, response codes and errors. These records help us operate the service, prevent abuse and investigate problems. Stripe handles payment card details; our application stores billing references rather than full card numbers.

How we use information

We use this information to provide account access, prepare your knowledge library, generate text and voice responses, publish your Advisor, measure usage, administer billing, provide onboarding and support, and diagnose service errors. Account registration details may be included in operational notifications to our administrators.

Your uploaded content remains yours. We process it to provide and support your Advisor; uploading does not transfer ownership to Short Circuit Media. We do not sell your personal information.

Published Advisors and visitor conversations

Publishing makes your Advisor available through its public link and any website that embeds it. Its displayed profile, image, greeting and links are public, and answers may reveal information from the knowledge you approve. Only include material you are authorized to share with that audience. Saving a draft does not change the published version; republish to make your revisions public.

Visitors interact with an AI system. Questions, audio and responses are processed by our service providers to deliver the conversation. Avoid submitting passwords, payment card details or other sensitive information. If you use an Advisor embedded on another website, that website may have its own privacy practices. Contact the Advisor owner about its content and Short Circuit Media about the operation of this service.

Voice consent and microphone access

You must own a voice or have the speaker’s permission before submitting it for cloning. We process the sample and consent confirmation to create and operate the synthetic voice. The saved voice can be reused when you update training materials. Starting a voice conversation requires microphone permission; you can end the conversation or revoke permission in your browser.

Service providers and access

We use Cloudflare for hosting and storage, Google Firebase for account access, Supabase for legacy account access, Stripe for billing, OpenAI for AI processing, ElevenLabs for voice and supported transcription, and Resend for operational email. The providers involved depend on the features you use. Information is shared with them as needed to perform those functions.

Authorized Short Circuit Media administrators can access account and Advisor information to provide support, administer the service and complete setup on a customer’s behalf. Information may be processed outside your province or country, including in the United States, and may be subject to the laws of those locations. We may also disclose information when required by law or necessary to address fraud, abuse or threats to the service.

Browser storage and security

The service and its sign-in providers use browser storage and, where needed, cookies to maintain account access and preferences. Clearing storage or blocking it may sign you out or affect functionality. We use secure connections and account access controls to protect information, but no online service can guarantee absolute security.

Retention, removal and deletion

Account and Advisor content is retained to provide the ongoing service. Cancelling a subscription or unpublishing an Advisor does not automatically delete stored information. Removing a source from your working library also does not immediately erase its stored files or previously published copies. Republish after changing your library, or unpublish to stop public access while a deletion request is handled.

You can request deletion of your account, uploads, published content or cloned voice by emailing us. We will verify the request and coordinate deletion with the relevant providers. Some records may need to remain for billing, legal obligations, security or resolving disputes, and backup copies may remain until the applicable backup cycle ends. We will explain any applicable limits when responding; we do not promise immediate deletion from every system.

Your choices and privacy requests

You can edit your profile and settings, control whether your Advisor is published, and stop providing new information. Contact Aidan Crawford at aidan@shortcircuitmedia.com to request access, correction or deletion, withdraw consent, or raise a privacy concern. Include your account email or the relevant Advisor link so we can locate the records. We may ask for reasonable verification, and withdrawing information needed to operate a feature may prevent us from providing it.

Policy changes

We will post updates on this page with a new effective date. If a change involves a materially different use of personal information, we will provide notice and obtain consent where required.
